Information we use
Depending on your relationship with us, we may use:
- identity and contact details, including your name, address, email address and telephone number;
- property, tenancy, landlord, contractor and maintenance information;
- financial and payment records needed to administer rent, fees, invoices and statements;
- documents and information needed for property-management, safety, compliance and legal checks;
- emails, call records, voicemails, WhatsApp messages and other correspondence; and
- website enquiry, device and analytics information.
We normally receive information from you. We may also receive it from a landlord, tenant, contractor, managing agent, professional adviser, public register or a communications and property-management service used by McLetIt.
Why we use information
We use personal information to respond to enquiries, provide and administer property-management services, manage tenancies and maintenance, keep financial and compliance records, communicate with landlords, tenants and contractors, protect our services, and meet legal or regulatory duties.
Our lawful bases are usually performance of a contract, steps requested before entering a contract, compliance with legal obligations, and our legitimate interests in operating a safe and effective property-management business. Where required, we rely on consent, including for optional direct marketing. You may withdraw consent at any time.
We do not use Meta or WhatsApp information for unrelated advertising, and we do not sell personal information.
WhatsApp and Meta information
If you communicate with McLetIt through WhatsApp, we may receive your WhatsApp telephone number, profile name, message content, attachments, delivery information and conversation history that you choose to share. We use it to communicate with you and to keep the same property-management communication record used for calls and emails.
WhatsApp and Meta process information under their own terms and privacy policies. Messages sent through the WhatsApp Business Platform may be processed by Meta and its service providers. McLetIt limits access to authorised administrators and uses this information only for legitimate property-management communications.
Who we share information with
When necessary, information may be shared with landlords, tenants, contractors, professional advisers, regulators and organisations involved in a property or tenancy. We also use vetted service providers for hosting, communications, documents, accounting and operational support. These may include Google Cloud, Google Workspace, Meta/WhatsApp, Twilio, Xero and postal or document-delivery providers.
Some providers may process information outside the United Kingdom. Where required, we use an applicable adequacy regulation or contractual and organisational safeguards for international transfers.
How long we keep information
We keep information only for as long as it is needed for the relevant property-management relationship, communication or service, and afterwards for the periods required by tax, accounting, tenancy, limitation and other legal obligations. We then delete or securely anonymise it unless a dispute, safeguarding matter or legal requirement means it must be kept longer.
Security and automated decisions
We use access controls, encryption and service monitoring appropriate to the information we hold. No internet service can be guaranteed completely secure, but we review access and limit it to people and providers who need it.
We do not make decisions with legal or similarly significant effects about you solely by automated means.
Your rights and data deletion
Depending on the circumstances, you may ask us for access to your personal information, correction, deletion, restriction, portability, or object to our use of it. You may also withdraw consent where consent is the lawful basis.
To request deletion of information received through Facebook, Meta or WhatsApp, use our contact form and write Data deletion request in the message, or call 01323 764654. Tell us the telephone number or account concerned. We may ask for enough information to verify your identity. We will confirm the outcome and delete information unless we must keep it for a legal, regulatory, security or dispute-related reason.
You may complain to the Information Commissioner's Office. We would appreciate the opportunity to address your concern first.
